1. PURPOSE

Inner Beauty respects the privacy of our clients, employees and other individuals whose personal information we collect.

This Privacy Policy explains how Inner Beauty collects, uses, stores, protects and discloses personal information in accordance with applicable Australian privacy laws, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), where applicable.

By providing personal information to Inner Beauty, you acknowledge that you have read and understood this Privacy Policy.

2. WHAT INFORMATION WE COLLECT

Inner Beauty may collect personal information that is reasonably necessary to provide our services and operate our business.

  • Full name;

  • Date of birth or age where relevant to a treatment;

  • Phone number;

  • Email address;

  • Residential or mailing address;

  • Appointment and booking information;

  • Treatment history;

  • Consultation and client notes;

  • Skin, hair, beauty and treatment information;

  • Relevant allergies, sensitivities or contraindications disclosed for treatment purposes;

  • Before-and-after photographs where consent has been provided;

  • Payment and transaction information;

  • Gift voucher or membership information;

  • Feedback, reviews and communications with Inner Beauty; and information provided through our website, social media pages, online booking systems or other communication channels.

Where reasonably necessary for a treatment, we may collect information that could be considered health or sensitive information, such as allergies, medications, skin conditions or other information relevant to treatment safety.

We only seek information that is reasonably necessary for the purpose for which it is collected.

3. HOW WE COLLECT PERSONAL INFORMATION

We may collect information directly from you when you make an appointment; complete a consultation or consent form; attend the salon; purchase a product or service; contact us by phone, email, text message or social media; use our website or online booking system; participate in promotions, competitions or loyalty programs; provide feedback or leave a review; or consent to photographs or marketing communications.

We may also receive limited information from third-party booking, payment, marketing or technology providers used by Inner Beauty to operate our business.

4. WHY WE COLLECT YOUR INFORMATION

Inner Beauty may use personal information to provide beauty and treatment services; assess whether a treatment is suitable and safe; maintain accurate treatment and consultation records; manage appointments and bookings; contact clients regarding appointments; send appointment confirmations and reminders; process payments and transactions; provide customer service; recommend appropriate treatments or products; respond to enquiries and complaints; maintain business records; improve our services and client experience; meet legal, regulatory and insurance requirements; protect the health, safety and security of our clients and staff; and send marketing communications where permitted and where appropriate consent has been obtained.

5. TREATMENT AND CONSULTATION INFORMATION

Some Inner Beauty treatments require information about a client's skin, health history, medications, allergies or other circumstances that may affect treatment suitability.

This information is collected for the purpose of assessing treatment suitability; identifying contraindications; providing safe and appropriate treatments; recording treatment history; monitoring treatment progress; and providing appropriate aftercare advice.

Clients are responsible for providing accurate and up-to-date information relevant to their treatment.

 

Inner Beauty staff are expected to treat all client information as confidential and only access information that is reasonably necessary for their work.

6. PHOTOGRAPHS AND BEFORE & AFTER IMAGES

Inner Beauty may take photographs for treatment records, including before-and-after photographs.

 

Photographs taken for treatment records will be treated as confidential client information.

 

Inner Beauty will not use a client's photograph for advertising, social media, website content, promotional material or other public marketing purposes without the client's appropriate consent.

 

Where a client provides consent for photographs to be used for marketing purposes, the client may withdraw that consent for future use by contacting Inner Beauty.

7. MARKETING AND COMMUNICATIONS

Inner Beauty may communicate with clients regarding appointments; appointment reminders; treatment information; special offers; promotions; new services; products; and salon news and updates.

 

Marketing communications will be provided in accordance with applicable Australian privacy and electronic marketing laws

Clients may request to stop receiving marketing communications at any time.

Opting out of marketing communications will not affect the client's ability to receive appointment-related or other necessary service communications.

8. DISCLOSURE OF PERSONAL INFORMATION

Inner Beauty will not sell or trade client personal information.

 

We may disclose personal information where reasonably necessary to operate our business or provide services, including to online booking and appointment management providers; payment providers; IT and technology service providers; professional advisers; accountants or bookkeepers; insurers; legal advisers; government or Inner Beauty • Privacy Policy • Version 1.0 regulatory authorities where required by law; and emergency services where reasonably necessary to protect a person's health or safety.

Where practical and appropriate, Inner Beauty will take reasonable steps to ensure third-party service providers handle information securely and appropriately

9. CONFIDENTIALITY

All Inner Beauty employees, contractors and authorised personnel are expected to maintain the confidentiality of client and company information.

 

Client information must not be discussed with friends, family or other clients; accessed without a legitimate business reason; copied or removed from the salon without authorisation; shared through personal social media accounts; stored on personal devices unless expressly authorised; used for personal benefit; used to contact clients for personal or private business purposes; or disclosed to another person without appropriate authority.

This obligation applies both during employment or engagement with Inner Beauty and after employment or engagement has ended.

Unauthorised access, use or disclosure of confidential information may result in disciplinary action and, where appropriate, termination of employment or engagement.

10. CLIENT INFORMATION AND STAFF PERSONAL ACCOUNTS

Staff members must not use client information obtained through Inner Beauty to promote their own private business, services or employment outside Inner Beauty.

Staff must not use Inner Beauty client contact details to approach clients for private services; promote personal businesses; encourage clients to leave Inner Beauty; offer services directly from home or another private location; add clients to personal marketing databases without appropriate permission; or contact clients for personal financial benefit.

Client information collected through Inner Beauty remains confidential business information and must only be used for authorised Inner Beauty purposes.

11. STORAGE AND SECURITY OF INFORMATION

Inner Beauty takes reasonable steps to protect personal information against loss; misuse; unauthorised access; unauthorised disclosure; modification; and destruction.

Information may be stored electronically and/or in physical records

Access to client information is restricted to authorised personnel who require the information to perform their duties.

Inner Beauty will take reasonable steps to ensure that personal information is retained only for as long as reasonably necessary, subject to legal, regulatory, insurance and business record-keeping requirements.

12. DATA BREACHES

If Inner Beauty becomes aware of a data breach involving personal information, we will take reasonable steps to assess and contain the breach.

Where required by applicable Australian law, Inner Beauty will notify affected individuals and/or the relevant regulatory authority.

13. ACCESS TO PERSONAL INFORMATION

Clients may request access to personal information Inner Beauty holds about them.

Requests should be made in writing and may be subject to reasonable verification of identity and any applicable legal exceptions.

Inner Beauty will generally respond to access requests within a reasonable period.

14. CORRECTING PERSONAL INFORMATION

Clients may request that inaccurate, incomplete or outdated personal information be corrected.

If Inner Beauty identifies that information is inaccurate or incomplete, reasonable steps will be taken to correct it.

Clients should notify Inner Beauty if their contact details or other relevant information changes.

15. THIRD-PARTY WEBSITES AND SOCIAL MEDIA

Inner Beauty may provide links to third-party websites, booking platforms or social media services.

Those third parties operate under their own privacy policies and terms. Inner Beauty is not responsible for the privacy practices of third-party websites or platforms.

Clients should review the privacy policies of those services before providing personal information.

16. CHILDREN AND YOUNG CLIENTS

Where a treatment involves a person under 18 years of age, Inner Beauty may require a parent or legal guardian to provide consent or participate in the consultation process, depending on the treatment and circumstances.

Information relating to children and young people will be handled with appropriate care and confidentiality.

17. COMPLAINTS ABOUT PRIVACY

If you believe Inner Beauty has not handled your personal information appropriately, you may contact us and explain your concern.

Inner Beauty will investigate privacy complaints and endeavour to resolve them fairly and promptly.

If you are not satisfied with our response, you may have the right to make a complaint to the Office of the Australian Information Commissioner (OAIC).

Inner Beauty may update this Privacy Policy from time to time to reflect changes to our business, services, technology or applicable privacy laws.

20. CLIENT ACKNOWLEDGEMENT

By providing personal information to Inner Beauty, clients acknowledge that they have had the opportunity to read and understand this Privacy Policy and understand how their personal information may be collected, used, stored and disclosed.
